Privacy Policy

1. Who We Are
ViolationScan Pro ("we", "us", "our") provides self-help workflow software that helps you review credit information for potential reporting issues and generate letters you can send yourself. We currently serve businesses and professionals located in the United States.
2. Scope of This Policy
This Privacy Policy explains how we collect, use, and share information when you use our website, web application, and related services (collectively, the "Service"). By using the Service, you agree to the practices described here.
3. Information We Collect
The information we collect depends on how you use the Service and which features are available at that time.
- Information you enter into the letter generator (such as details about credit reporting issues or accounts) is used to generate draft letters but is not currently stored in our database. When you refresh or close the page, that information is cleared from our systems.
- If you create an account, we may collect your name, email address, and authentication information (managed securely by our identity provider, such as Clerk) to identify you and give you access to your account.
- If you subscribe to paid plans, our payment processor (for example, Stripe) will process your payment information. We do not store full payment card numbers on our servers.
- We may collect basic technical information such as IP address, browser type, device information, pages viewed, and timestamps to operate, protect, and improve the Service.
- To generate letters and suggestions, we may send portions of the information you enter to a large language model provider (such as OpenAI/ChatGPT) acting as a processor on our behalf.
4. How We Use Your Information
- To operate and provide the Service, including generating draft letters and other outputs you request.
- To maintain the security and integrity of the Service, prevent abuse, and resolve technical issues.
- To communicate with you about your account, important updates, or changes to our policies.
- To process payments (through a third-party payment processor) if you subscribe to paid plans.
- To analyze aggregated or de-identified usage patterns and improve our tools, templates, and features.
5. How We Share Information
- With service providers and processors that help us operate the Service, such as hosting, email, payment processing, analytics, and language model providers.
- When required to comply with law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of us, our users, or others.
- In connection with a business transaction (such as a merger or acquisition), subject to appropriate confidentiality obligations.
- We may share aggregated or de-identified information that does not reasonably identify you.
We do not sell your personal information for money or share it with third parties for their own direct marketing purposes.
6. Data Retention
Information you type into the letter generator is currently stored only in your active browser session and is not persisted in our database. If and when we introduce stored account data, we will keep your information for as long as reasonably necessary to provide the Service and to comply with legal obligations, resolve disputes, and enforce our agreements.
7. Your Rights and Choices
Because we currently do not maintain persistent profiles for non-account users, many choices are exercised simply by closing the page or not using the Service. As we expand account features, you may have additional options, such as accessing, updating, or deleting certain account information.
Residents of certain U.S. states (such as California, Virginia, or Colorado) may have additional rights regarding their personal information under applicable law. If you believe you have a specific right and wish to exercise it, please contact us using the information in the "Contact Us" section below.
8. Children's Privacy
The Service is intended for use by adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete it.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect the information we handle. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. U.S.-Only Service
The Service is currently intended for users located in the United States. If you access the Service from outside the U.S., you understand that your information may be transferred to, stored, and processed in the United States.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above and, when required by law, provide additional notice. Your continued use of the Service after any changes become effective means you accept the updated Policy.
